Ross Hamilton will circulate an outline for newsgroup strategy (hierarchy), with a request for comment & feedback. This has now been put on hold following Ross's resignation. It is now hoped that he will be able to put together a document describing the current status of the news hierarchy proposal and associated dustribution mechanisms.

Access will be provided to a sub-set of data only, that which has been defined as "public" - and this data will be exported to relevant users/sites.
A suggested list of fields (sub-set of data to be exported) has been agreed by CEG - this will include a UID field.
The UID ranges across sites will need to be unified - Ken had briefly presented the case for there being a single UID for each actual user at the last Computing Committee and he proposed that there was no longer much to be gained from a general announcement. Those computer users that had more than one UID (or students that had the wrong UID) would be informed of the change individually.

The unification of UIDs will require action at each site. This will be co-ordinated by Tim Colles.Tim reported that about 100 UIDs need to be changed, and implementation of this is awaited. Tim will pursue this. A policy and mechanism to ensure the continued consistency of UID allocation will need to be devised and arranged.

Craig Strachan announced that site versions of TeX, etc, would be upgraded to tetex 1.0.6, so that a consistent version would be available across the Division. This is already installed, but not the default - this is to be arranged.
A date has been arranged for this, 17th July, to be co-ordinated by Craig. Some discussion with Simon Wilkinson is required with respect to the Linux setup. The layout at each site will be consistent, and there will be centralised distribution of updates for packages, document classes etc.

Jeremy commented on the misunderstanding between Alan Bundy and Gordon Duckett about the proposal for increasing the equipment budget. After explanation, AB now felt that £300k was acceptable and he would recommend to the next P&R meeting that this amount be accepted.
It was thought that, apart from some inter-site liaison with regard to security issues, the current mechanisms for information dissemination were acceptable.
Chris Cooke had reported that "[Ex-]CS used to produce a Systems Newsletter every now and again, distributed to CS staff and postgrad mail trays ... in JCMB... The idea was to provide an opportunity to collect together some longer, more involved background information and explanations about the systems and about upcoming service developments, than the sort of necessarily rather brief announcements we post to news or mail. It usually seemed to be appreciated, and we thought it was good PR."
It was agreed that it wasn't worth making the forthcoming issue a Division-wide one, because the various Informatics systems didn't yet have enough in common. It was therefore decided that it should remain (for the moment) a KB Systems Newsletter. Ken Dawson suggested that copies should be distributed to all the COs throughout the Division, and this was agreed. Suggestions for the next issue included:

It was announced that Simon Wilkinson will be working part-time on the DICE project only, and will effectively be removed from the CO pool.
It was also agreed that the use of the Video-conferencing facilities, whilst acceptable, was not a viable alternative for regular face-to-face meetings.
